Billing Administrator
Project Billing and Business Administration in a fast paced, multi-service-line consulting organization
The Role
As part of our continued growth, HKA is seeking a Billing and Project Support Administrator to join our Operations and Administration department. This role is responsible for all facets of engagement administration, including job set up and maintenance, timely client invoicing and follow-up, general accounts receivable functions, CRM management, as well as special projects, as needed.
Qualified candidates will know the importance of being detail oriented and possesses strong critical thinking skills, a professional demeanor, and excellent interpersonal and organizational skills, including the ability to work well with all levels of the HKA teams.
As part of a services organization, the role will have the occasional need for support outside of regular business hours.
Duties and Responsibilities
• Project administration and client contract management within ERP systems, including processing conflict checks, setting up new engagements and updating system as necessary
• Preparation and distribution of client invoices
• Uploading invoices to the ERP system and any client specific electronic billing systems
• Accounts receivable follow-up, management and reporting
• Updating the CRM system
• Administrative support for local office personnel, as needed
• Additional tasks will most certainly present themselves both temporarily and permanently.
Qualifications
- Proven professional experience in billing and administrative support (Business Admin, Office Management, etc.) experience
- Experience with ERP systems (e.g., Deltek Vantagepoint CRM and/or Accounting) and professional service firms
- Ability to work in either the Philadelphia, PA or Washington, DC office on a hybrid work schedule (2-3 days/week in the office)
- Strong attention to detail as it pertains to reviewing documents, keeping track of multiple sources of information and requests simultaneously, catching and correcting errors, and more
- Excellent customer service and communication skills with internal and external stakeholders
- Proficiency in Microsoft Office (Outlook, Word, Excel, and PowerPoint)
- Experience evaluating the landscape of needs and creating an efficient plan and process to meet deadlines in a timely manner
