Marketing and Proposal Manager
Seeking a Marketing and Proposal Manager with Expertise in Client Presentations. The role is In-Office 4+ Days Per Week at our Americas HQ in Philadelphia.

The Opportunity:
HKA is seeking a highly organized, detail-oriented, and creative Marketing and Proposal Manager to support our fee earners and Business Development team. This role is ideal for a professional who thrives in a fast-paced environment and is passionate about crafting visually engaging client presentations and compelling proposals.
Key Responsibilities:
Client Presentations, flyers, and brochures
- Design and develop high-impact PowerPoint presentations for client meetings, pitches, and conferences.
- Collaborate with subject matter experts and business development leads to simplify complex content into visually compelling and persuasive presentations.
- Ensure all presentation materials align with HKA’s brand standards and messaging.
- Maintain a library of presentation templates and visual assets to support consistency and efficiency.
- Create bespoke client flyers, brochures, and sales materials tailored to specific opportunities, sectors, or service lines.
Proposal/Submittal Support & Management
- Develop a strong understanding of HKA’s systems, people, services, and offerings to support all new business development efforts.
- Respond promptly to requests from the business development team and partners pursuing new opportunities.
- Provide writing support for all client submittals, including proposals, qualifications, and other materials.
- Lead the end-to-end development of proposals and qualifications—planning, writing, editing, and submitting.
- Collaborate with internal stakeholders and subject matter experts across departments to create compelling, compliant proposals that highlight HKA’s capabilities, strengths, experience, and value propositions to potential and existing clients.
- Manage proposal and submittal timelines to ensure all deadlines are met.
- Coordinate the delivery of final submissions, including uploading to vendor portals or handling printing, binding, and shipping logistics.
- Maintain a centralized library of templates, past proposals, and supporting documents to streamline future submissions.
- Conduct post-submission debriefs to gather feedback and identify areas for improvement.
- Track and report on the regional success rate of proposal and submittal efforts, providing quarterly progress updates.
Client Information Hub
- Manage the Client Information Hub, working closely with the other regions to confirm processes for adding new content, such as testimonials, case studies, bios, win themes, etc.
CRM
- Develop a deep understanding of HKA’s Client Relationship Management system, which includes client, contacts, and assignment information.
Project Case Studies
- Research and compile detailed information on completed HKA projects.
- Develop comprehensive and engaging case studies that highlight project objectives, processes, outcomes, and key takeaways.
- Tailor each case study to emphasize the unique successes of the project.
- Collaborate with project managers and teams to gather relevant data and perspectives.
- Monitor and report on how case studies are used in marketing and business development.
Qualifications and Experience:
- Bachelor's degree in marketing, communications, journalism, public relations, business administration, or a related field.
- 5+ years of experience coordinating responses to RFIs, RFQs, and RFPs.
- Familiarity with information management systems such as Deltek VantagePoint, or comparable systems.
- Advanced proficiency in Microsoft Office Suite, particularly PowerPoint, Word, and Excel.
- Experience designing client-facing presentations using PowerPoint or similar tools.
- Familiarity with Chicago or AP style guides.
- Exceptional writing and copy-editing abilities.
- Strong organizational, research, and time management skills.
- Demonstrated ability to meet deadlines and deliver quality work.
- Strong writing, messaging and storytelling ability.
- Strong verbal communication skills with the ability to communicate with all levels of an organization.
Preferred but not required:
- Familiarity with Adobe Suite (InDesign and Acrobat) is a plus.
- APMP, CPSM, or other relevant certifications are a plus.
