The Opportunity:
HKA seeks a dedicated and detail-oriented Proposal Manager and Content Writer to support our fee earners and Business Development team. You will play a key role in developing and managing proposal and qualifications response efforts, interviewing internal sources to develop project case studies, managing and maintaining our comprehensive Client Information Hub, and other related tasks as assigned.
This role will be on-site 4-5 days per week in our Philadelphia, PA office. The ideal candidate will have strong organizational skills, excellent writing abilities, and the capacity to manage multiple tasks efficiently.
Key Responsibilities:
- Proposal Manager and Content Writer
- Oversee the development and management of proposals and qualifications, including planning, writing, editing, and submission.
- Coordinate with various departments to create compelling, compliant, and well-written proposals that effectively communicate HKA's capabilities and value proposition to potential and existing clients.
- Work with subject matter experts to develop proposal content that demonstrates the organization’s capabilities and solutions.
- Manage proposal timelines and deadlines to ensure timely submission.
- Coordinate the production and delivery of final proposal documents, including printing, binding, and shipping as necessary.
- Maintain a repository of proposal templates, past proposals, and other relevant documents to streamline and improve the proposal development process.
- Conduct post-proposal reviews to gather feedback and lessons learned for future proposals.
- Measure the proposal hit rate for the region and produce a quarterly progress report.
- Put a plan in place to continuously enhance our proposals to increase our win rate.
- Client Information Hub
- Manage the Client Information Hub, working closely with the other regions to confirm processes for adding new content, including testimonials, case studies, bios, win themes, etc.
- Project Case Studies (a significant part of the client information hub)
- Research and gather detailed information on HKA’s completed projects.
- Develop comprehensive and engaging case studies that highlight project objectives, processes, outcomes, and key takeaways.
- Ensure case studies are tailored to showcase the unique aspects and successes of each project.
- Work with the marketing team to ensure all approved case studies are available on the firm’s website.
- Work closely with project managers and project team members to collect relevant data and insights.
- Track and report on the impact and usage of case studies in marketing and business development efforts.
- Presentations and Flyers
- Collaborate with Partners and the Business Development team to prepare bespoke presentations and marketing flyers for client meetings and follow-ups.
- Work closely with the broader marketing team to ensure bespoke materials are available for specific exhibitions and conferences.
Qualifications and Experience:
- Bachelor's degree from a four-year college or university is required, preferably in in marketing, communications, journalism, public relations, business administration, or a related field.
- Minimum of five (5) years of experience coordinating responses to RFIs, RFQs, and RFPs.
- Strong organizational, research, and time management skills.
- Demonstrated ability to meet deadlines and deliver quality work.
- Strong written and verbal communication skills with the ability to communicate with a variety of audiences and all levels of an organization.
- Familiarity with Chicago or AP style guides.
- Exceptional writing, and copy-editing abilities.
- Familiarity with information management systems such as Deltek VantagePoint, or comparable systems.
- APMP, CPSM or other relevant certifications are a plus.
- Highly proficient with Microsoft Word, PowerPoint, Excel, and Adobe Suite (InDesign and Acrobat).
