The Opportunity
HKA have an exciting opportunity for a highly competent Senior Business Support Administrator to join our team in Birmingham. This is a key role for the business that requires a highly organised individual with a responsible attitude and a keen eye for detail and exceptional customer service skills. The role is a 25-30 hours per week over 5 days or flexible working.
The successful applicant will be an integral part of the team, ensuring an efficient and smooth running office environment.
Duties include, but not limited to, the following:
- Facilities Management:
- Point of contact/co-ordination/arrange maintenance visits –
- Landlord/Managing Agent
- Office Alarm
- A/C / Heating
- Cleaners/Window Cleaners
- Utility Rates
- Fire Alarm/Emergency Lighting maintenance/testing
- Fire Extinguishers
- Water Testing/temperature check/samples/shower clean
- Recycling (IT & electrical equipment/toners/general)
- First Aider
- Fire Marshall
- Office H&S Risk Assessment
- Supplier Invoices (check/obtain approval)
- Business Cards
- Stationery
- Archiving of documents/confidential destruction
- Arranging lunch for client/office meetings
Lead Business Support for the Quantum Team
- Attend regular team meetings with Quantum Leads
- CRM/PMP establish sales stage/start & end dates and update
- Add any Activities/follow ups required on CRM. Events calendar/co-rdinate
- Assist in preparation of MBR’s
- CPRD – weekly Budget reviews with PM’s
- Assist in Delivery Excellence/formatting reports/documents
- Regular reminders for updating CV’s
- Onboarding – ensure standard is adhered to as per Induction Schedule
- Update Resource Planning Schedule with all live projects including rates & relevant staff
- Annual Leave reconciliation (bi monthly)
- Document Controller
- Business Support Europe
- Carry out conflict checks for the Birmingham office
- Superuser on Templafy
- Booking of hotel/travel on Corporate Traveller
- Journey Management
- Ensure submitted MCV’s are in HKA format
